From Lead to Contract: Designing One Operational Source of Truth

A lead is not isolated CRM data once it becomes a reservation, contract, payment plan, commission event, and management metric.

<h2>The handoffs are the product</h2><p>Sales software fails when every team owns a separate copy of the customer and deal. The important architecture is the handoff from lead to opportunity, from opportunity to inventory decision, from reservation to contract, and from contract to finance.</p><h2>Normalize identity and ownership</h2><p>Before automating anything, the system needs stable customer identity, lead ownership, source traceability, project and unit references, and explicit transition rules.</p><h2>Make downstream effects deterministic</h2><p>A confirmed state should have predictable effects. Notifications, dashboards, commissions, claims, and accounting-adjacent records should consume the same accepted event, not infer their own version of it.</p><h2>This is where custom ERP earns its cost</h2><p>The advantage is not another dashboard. It is fewer disagreements between departments about what happened and what should happen next.</p>
